Electronic Document Scanning / Bar Code Technology
Electronic document scanning has never been easier! ClaimTrak offers three (3) ways to electronically scan any image into the ClaimTrak system:
From an Electronic File: If a document is sent to the agency electronically (e.g. attached to an email in PDF, Excel, Word format, etc.), the image or document can be electronically uploaded to the client’s record.
From an Electronic Scanning Device: As long as the user has access to a simple scanner, any image may be scanned directly into the client’s chart.
Via Bar Code Technology: For those agencies that scan large amounts of images / documents, the Bar Code Technology option is optimal. This feature allows the scanning to take place on the agency’s main copier/scanner at any given time. A face sheet may be printed from the client’s chart.
This face sheet contains a bar code that uniquely identifies not only which client record the scanned image should be stored, but also where within the client chart the image should be stored. The face sheet is placed on top of the image(s) to be scanned; all documents are placed on the auto feeder of the agency’s copier/scanner then automatically scanned into the appropriate place within the client’s record.In lieu of a cover sheet, bar code stickers may also be placed on documents to be scanned into specific client records. All scanned documents are stored in pdf formats and are searchable.
